Request for Southwest LUV Voucher and/or Reimbursement

Southwest LUV Voucher requests:

Southwest intends to operate all flights as planned. Unfortunately, sometimes things happen that we determine we can’t control (like bad weather) or we determine we can control (like fixing a plane) that may cause a delay or cancellation.

Important: Customers connecting to a Southwest flight from a country within the European Union, please click here.

If Southwest cancels or significantly delays a flight because of something we determine we can control (like a mechanical issue or needing to swap out planes), you may be eligible for a Southwest LUV Voucher if:

  1. Southwest canceled or delayed your flight less than eight days before it was supposed to leave and you arrived to your final destination three or more hours later than planned; and
  2. The cause of the delay or cancellation was something Southwest determined we could control; and
  3. You ask for the Southwest LUV Voucher using this form no later than one year from the date of the delayed/canceled flight(s).

If Southwest already issued a voucher for this delay or cancellation we won’t give another one for the same issue.

For delays or cancellations that don’t fit these rules, Southwest may choose to give a Southwest LUV Voucher.

If Southwest agrees to give you a voucher, we will email a Southwest LUV Voucher for each ticketed Passenger to the email associated with the purchaser of the reservation.

Expense reimbursement requests:

During flight delays that last three hours or more that we determine are within our control, like mechanical issues or needing to swap out planes, or if we cancel your flight because of something we determine we can control and make you wait three hours or more at the airport:

  1. Meals: If you ask, we’ll give you a voucher for food at airport vendors who accept our vouchers. If there’s no place to use the voucher or no vouchers available, we may honor reasonable requests for reimbursement of meal costs if you ask by using this form no later than one (1) year after the flight in question.
  2. Lodging: If we can’t get you on a flight out to your destination or a co-terminal city the same day, and your reservation did not originally include an overnight layover, if you ask, we may get you a place to stay or may honor reasonable requests for reimbursement for lodging (unless you live nearby) submitted using this form no later than one (1) year after the flight in question.
  3. Transportation: If the lodging we arrange doesn’t have a shuttle to/from the airport, if you ask, we may provide a ground transportation voucher or may honor reasonable requests for reimbursement for a taxi or something similar submitted using this form no later than one (1) year after the flight in question.

Getaways by Southwest Customers: You can submit the form below to request a Southwest LUV Voucher or reimbursement for a flight cancellation or significant delay. Requests for full or partial refunds of your vacation booking must be submitted separately. See details about submitting refund requests related to vacation bookings.

Note: You must connect to our Inflight Internet in order to submit an email while inflight. Learn more about connecting to Inflight Internet. Alternatively, you may contact us after you’ve reached your destination.
